Job Summary

Implement and maintain an efficient and effective registry management system for the adoption and use within the business and Sorting and arranging information and documents for filing according to the organization’s record management protocols

Responsibilities

Records Management

  1. Implement and maintain an efficient and effective registry management system for the adoption and use within the business
  2. Sorting and arranging information and documents for filing according to the organization’s record management protocols
  3. Classifying, coding and indexing information and documents for inclusion in the Company’s registry systems
  4. Identifying and retrieving information and documents for users
  5. Recording file and document movements
  6. Labelling storage locations, and assembling and labelling new files
  7. Removing inactive and dead files
  8. Manage archived information by implementing a comprehensive storage facility that facilitates access and retrieval of documents as well as ensures security and controlled access to records/documents.
  9. Responding to enquiries relating to items maintained in the registry and as required, searching for, identifying and retrieving information and documents for users.

Electronic Document Management

  1. Coordinating the exercise of continuous scanning of physical documents following the electronic document management system protocols (EDMS).
  2. Ensure scanning of documents is done in a timely and efficient manner taking into consideration document indexing and assignment to claims handler as an EDMS tickets.
  3. Overseeing the management and use of the electronic documents management system (EDMS) within the various departments 
  4. Providing the relevant reports in relation to file movement for management consumption

     

Key Deliverables

To ensure a smooth transition of the organization to go paperless with the available tools and proper archiving of documents without affecting the operations of the department.

Qualifications

  •  Diploma in Library and Information Science
